  2. AI-based validation (optional)

    • OpenAI model checks for:

      • Completeness of the request

      • Matching training programs or content in the LMS

      • Prior completion history or prerequisites


  3. Review and assignment

    Training coordinators or department heads validate the request. If approved, they:

    • Assign the appropriate training (e.g., ISO 9001 awareness, GDPR refresher)

    • Select the delivery method (instructor-led, eLearning, hybrid)

    • Define the list of target participants


  4. Document and Scheduling

    The draft training documentation is reviewed by the Quality/Compliance Team for:

    • Accuracy, completeness, and proper formatting

    • Correct metadata and ISO clause references

    Once approved:

    • The system schedules the training based on trainer and participant availability

    • Participants are enrolled automatically and receive calendar invites (e.g., via Outlook or Teams)


  5. Delivery, Evaluation & Archiving

    • Training is delivered through LMS, Teams, or in-person sessions

    • Attendance and participation are tracked

    • Knowledge transfer is verified via quizzes, feedback forms, or performance checks

    • Certificates are issued digitally

    • All records are archived in employee profiles with full audit trails

    • Reminders for mandatory retraining are automated, and non-compliance alerts are sent ahead of audits
